A Head of School's Guide to Choosing a School Management System

Choosing a school management system is a decision that's hard to reverse once staff and parents have been trained and years of data have accumulated in it. Having worked with dozens of schools on this exact decision, here are the questions worth asking before you sign a contract.

Does it work on a bad network day? Ask the vendor to demonstrate the system on a throttled connection, not just their office Wi-Fi.

Can your least tech-confident staff member use it without a manual? The best test is putting the system in front of your most reluctant teacher and watching how long it takes them to take attendance unaided.

Who owns your data if you switch providers later? Get a clear, written answer on data export before you commit, not after.

Does pricing scale sensibly as you grow? A system that's affordable at 300 students but punishingly expensive at 1,000 will force an awkward migration right when you can least afford the disruption.

Is support available in a way that matches how your staff actually communicate? If your bursar's instinct is to make a phone call, a support system that only offers email tickets will frustrate them daily.

There isn't a universally "best" system — there's a best fit for your school's size, connectivity, and staff comfort with technology. But asking these questions up front will save you from the most common regrets schools report after switching systems.
